Who we are

Ruby Vehicle Services Ltd is a family run HGV and light commercial vehicle garage based in Shropshire, England. We are registered in England and Wales.

The short version

We collect some information about you when you use our website, make a booking, send us an enquiry or apply for a job with us. We use it to run our business properly and look after our customers and staff. We don't sell your data and we don't share it unless we have to.

What information we collect and why

Enquiries If you contact us through our website we collect your name, email address, phone number and the details of your enquiry. We use this to respond to you and where relevant to arrange work on your vehicle.

Online booking via Apex If you book a service or MOT through our online booking system you'll be providing information directly to Apex RMS, our booking platform. Please refer to Apex's own privacy policy for details of how they handle your data. We receive your booking details in order to fulfil your appointment.

Job applications If you apply for a position at RVS through our website we collect your name, contact details and any information you choose to share with us about your experience and background. We use this solely to assess your application. If your application is unsuccessful we will keep your details for six months in case a suitable vacancy arises, after which they will be securely deleted unless you ask us to keep them longer.

Website usage Our website is hosted on Wix which may collect standard technical information about your visit such as your IP address, browser type and pages visited. This helps us understand how our site is being used and improve it. Please refer to Wix's privacy policy for full details.

CCTV

We operate CCTV at our premises for the safety and security of our staff, customers and vehicles in our care. CCTV footage is stored securely and only accessed when necessary — for example in the event of an incident or security concern. Footage is retained for 30 days and then automatically overwritten unless required for an ongoing matter.

If you visit our premises you will see signage advising you that CCTV is in operation.

Who we share your information with

We only share your information where necessary:

Apex RMS — our booking platform receives your booking details to manage appointments.

Our staff — relevant team members will have access to your contact and vehicle details in order to carry out the work you've requested.

Legal and regulatory bodies — we may share information if required to do so by law, for example with DVSA in connection with MOT testing.

Insurance and legal — in the event of an incident or claim we may need to share relevant information with our insurers or legal advisers.

We do not sell your personal data to any third party. Ever.

How long we keep your information

We keep customer records for seven years in line with HMRC requirements for VAT registered businesses.

Job application data is kept for six months after the conclusion of a recruitment process unless you ask us to keep it longer or we make you an offer of employment.

CCTV footage is retained for 30 days unless required for an ongoing matter.
